At the Start of the Placement
First of all, have your enrolment certificate filled in by your host university. This is important for you to be able to receive the first instalment of your Erasmus+ grant. Once you are officially enrolled, please send a copy/scan to the International Centre.
Erasmus+ European grant:
You will receive the first payment of your Erasmus+ grant after you have submitted the following documents:
- Online registration
- Learning Agreement
- Erasmus+ Grant Agreement
- Enrolment certificate from the host university
We will then pay you your grant within 30 days. The first instalment comprises the amount for all subsidised months less one monthly rate. If, for example, you are spending six months abroad, the first instalment will contain your grant money for the first five months.
Erasmus+ worldwide grant:
If you are receiving an Erasmus+ worldwide grant, the first instalment will comprise two monthly rates plus your travel grant.
You will have completed a Learning Agreement before embarking on your Erasmus+ journey.

If there are any changes during your period abroad, please enter these changes in Table A2 within four to seven weeks after the start of your period abroad and also correct Table B2. You then sign the document and obtain the signatures of your Erasmus+ departmental coordinators at the host university and our university or from your recognition officers.
Please email a copy or scan of the document to the International Centre.
What If I Want to Extend My Erasmus+ Studies in Europe?
Would you like to extend your Erasmus+ period abroad in Europe? This is possible if your available time quota (i.e. your maximum funding period) is sufficient. If you wish to extend your semester abroad by more than 30 days, we will require a separate application.
If you would like to extend your period abroad by more than one month, please submit an application for extending the mobility stay abroad.
Please note: You must apply for the extension at least one month before the originally planned end of your stay. Before we can approve your extension, we need approval from your department and your host university. Please submit your extension application – along with your Learning Agreement and the confirmation of your nomination from your Erasmus+ departmental coordinator for the extended period – on time. If we do not receive all of the required documents on time, your financial support will end in accordance with the original plan.
We will pay you the second instalment of the originally approved financial support at the end of the originally planned period. Please submit the new enrolment certificate from your host university to the International Centre.
Even if we extend your Erasmus+ stay, we cannot automatically guarantee additional financial support. This depends on our Erasmus+ budget. For this reason, we can only decide on financial support and pay it out once we have received and examined all extension applications. This happens at the end of each academic year (after 30 September).
At the End of the Placement
In order to have your period abroad recognised afterwards, your host university will issue you with a Transcript of Records. You can either use our Transcript of Records document or the host university’s own forms.

Be sure to find out where your host university will send the original copy of the Transcript of Records to. Please also send the Transcript of Records to your institute in order to facilitate the recognition process, as well as a copy or scan to the International Centre.
Please ask your host university to fill in the certificate confirming that your period abroad has come to an end. Then email a copy or scan of the completed document to the International Centre within four weeks of your exmatriculation.
