Congratulations on successfully starting your period abroad! We hope that you have a wonderful experience. There are still a few organisational matters to take care of to make sure that your period abroad is properly rounded off after you return to Leipzig University.

At the Start of the Placement

First of all, have your enrolment certificate filled in by your host university. This is important so that you do not receive any payment refunds. Once you are officially enrolled, please send a copy/scan to the International Centre.

If you are receiving an Erasmus+ worldwide grant, the first instalment will comprise two monthly rates plus your travel grant.

You will have completed a Learning Agreement before embarking on your Erasmus+ journey.

If there are any changes during your period abroad, please enter these changes in Table A2 within four to seven weeks after the start of your period abroad and also correct Table B2. You then sign the document and obtain the signatures of your Erasmus+ departmental coordinators at the host university and our university or from your recognition officers.

Please email a copy or scan of the document to the International Centre.

Our Erasmus+ Study Mobility Guidelines explain in detail how to amend the original Learning Agreement. You can also refer to our leaflet explaining the recognition process.

What if I want to extend my Erasmus+ studies in Europe?

Please announce an extension of your Erasmus+ study period within the current semester abroad via online form. You will receive an email from the International Centre at least 30 days before the planned end of your stay. Please use the online form that is linked in our email.
Please make sure to meet following requirements: The new end date is before 31 July of the study year abroad and within the first examination period of your host university. Additional financial support is only possible if your Erasmus+ time quota (maximum funding period) allows it.

If you meet all requirements, you can apply for an extension. The final end date is confirmed by the host university within an exmatriculation document like the Transcript of Records or a confirmation of the end of your period abroad. Please send us the relevant document as soon as you receive it. We will adjust your financial support accordingly.

Please announce an extension of your Erasmus+ period abroad for another semester/trimester via online form. You will receive an email from the International Centre at least 30 days before the planned end of your stay. Please use the online form that is linked in our email.

An extension for another semester/trimester is only possible with "Zero Grant". You will keep your Erasmus+ student status (incl. tuition fee waiver) without any further financial Erasmus+ support for the extended period. Please make sure to meet following requirements: The new end of stay is before 31 July of the study year abroad and within the first examination period of your host university.

For this purpose, the "Application for Extending an Erasmus+ Study Abroad/Mobility Phase" must be completely filled out, signed and uploaded. A semester extension is not possible if the application is not submitted in due time.

Please submit your Extension Application via online form. Please also send your Learning Agreement and the Confirmation of your Nomination from your Erasmus+ departmental coordinator for the extended period via email to the International Centre.

The final end date is confirmed by the host university within an exmatriculation document or the Transcript of Records or a confirmation of the end of your period abroad. Please send us the relevant document as soon as you receive it.

Please indicate a shortening of more than 5 days using the Moveon online form. This should be done no later than 30 days before the planned end of your stay abroad. You will receive the link to this form via email from the International Centre. If applicable, a part of your financial Erasmus+ support might be reclaimed.

If you stay less than the minimum duration of two months, you will have to reimburse the entire financial Erasmus+ support. You will then receive a separate request for repayment.

At the End of the Placement

In order to have your period abroad recognised afterwards, your host university will issue you with a Transcript of Records. You can either use our Transcript of Records document or the host university’s own forms.

Be sure to find out where your host university will send the original copy of the Transcript of Records to. Please also send the Transcript of Records to your institute in order to facilitate the recognition process, as well as a copy or scan to the International Centre.

Please ask your host university to fill in the certificate confirming that your period abroad has come to an end. Then email a copy or scan of the completed document to the International Centre within four weeks of your exmatriculation.

Our tip: Our Erasmus+ study checklist can help you make sure that you have completed all the necessary steps during your period abroad.
